Asset Management

Track, assign, and manage all company assets across your organization from one central location.

Overview

The Asset Management module allows you to:

  • Maintain a complete inventory of company assets
  • Assign assets to employees
  • Track asset lifecycle from purchase to retirement
  • Monitor warranty expiry dates
  • Generate asset reports

Available in: Both Full-Time and Scheduling modes.

Adding an Asset

Navigate to Assets

Navigate to Resources → Assets

Add a new asset

Click Add Asset

Fill in the required fields

Save the asset

Click Save

Viewing an Asset

  1. Navigate to Resources → Assets
  2. Click on an asset row to open the View Asset panel
  3. Review all asset details including assignment and warranty status

Assigning Assets to Employees

When adding or editing an asset, select the employee from the Assigned To dropdown. This automatically links the asset to that employee’s profile.

To reassign: Edit the asset and select a different employee. The previous assignment is recorded in the audit log.

Asset Status Lifecycle

Purchased → Active (Assigned) → Active (Unassigned) → Inactive (Retired)

Warranty Tracking

The Assets report highlights assets where:

  • Warranty has expired
  • Warranty expires within 30 days (configurable)

Navigate to Reports → Assets and check the Warranty Expired KPI card.

Asset Reports

Navigate to Reports → Assets for:

KPI Cards:

  • Total Assets count
  • Active assets count
  • Total Portfolio Value
  • Warranty Expired count

Table Filters:

  • Filter by Category (Hardware, Software, Furniture)
  • Filter by Status (Active, Inactive)
  • Filter by Assigned Employee

Export Options:

  • CSV export for inventory management
  • PDF export for audit records

Best Practices

  • Always record the serial number for hardware assets — this is essential for insurance claims and IT support
  • Update asset status to Inactive when an employee is offboarded rather than deleting the record
  • Use the Notes field to record repair history, incidents, or configuration details
  • Run the Assets report quarterly to identify expired warranties and aging equipment
  • Assign all assets before employee onboarding is complete

Common Questions

Yes – leave the Assigned To field blank. The asset will still appear in inventory.

Assets remain in the system and should be manually reassigned or marked Inactive during the offboarding process.

Document attachment for assets is on the product roadmap. Currently, use the Notes field to reference document locations.
